DH: Nats Wellington 2009 Meeting

Howdy all

Its that time of year again when The Wellington Mountain Bike club is given the opportunity to run a round of the 2009 New Zealand MTB Cup.
At this stage there have been no takers for round 2 in the north island series on Fri/Sat 16/17 Jan.

We would like to have a meeting to see if this is something wellington riders want to be part of and to see if we have enough people who are willing to be involved in the organization of such an event from begining to end.

Since we did it all last year we have better understanding of what needs to be done and a load of information on every task to work with. As this is not a National champs round it will mean there will be a lot less involved than last year from an organizational point of view. Last year the event went well but we did end up being short staffed and a few people were run off their feet.

What we would really like to see is more people involved in being part of running a race because at some point soon if people don’t start helping with these events then there will be no one left with any Downhill Race management experience to run any race’s at all,l which would mean no race's being run. Wouldn’t that suck!

So If you think you can lend us a hand then come along and we can discuss how your skills can be put to best use.

We would like to meet at the: Hotel Bristol at 6pm on Wednesday the 3rd of September 173 Cuba st

Transport issues to sort
Since the last Nationals race the Long Gully Land owners (The Watson’s) have spent a sizable amount of money Tar sealing a large section of road that they feel the use of heavily loaded shuttling transports could cause costly damage. What this has meant is that the use of large trucks for shuttling can be used but will need to be limited to picking up riders from the nearest gravel hairpin corner on the road in.
The question is would this push up be too much to ask from riders?

Here is a list of some of the tasks that we need help with . if we can get 5-6 core helpers we will concider taking this event.

Event REO
Mike will Organize the event providing there are enough people involved to share the workload.

Transport
Vince Langford being our resident expert at transport has stuck his hand up to sort this out.

Track Preparation
Organizing dig parties to get the track up to scratch, safe and also possibly adding something new.

Base camp Site management
Organizing the layout of the finish area sites for: Teams, Product Tents, Sponsors, first aid, timing etc. Being there on their arrival during the event weekend. Working with site bookings.

Posters/signage
We might want to get our own poster out there early and may require a few signs to made up closer to the event.

Funding proposals
Events of this size simply cant sustain themselves from the entry fee’s and extra funding from trusts need to be applied for early on. We have copies of all the applications from last year to work from to make it easier.

Volunteer Management
A variety of volunteers need to be coordinated and looked after

First aid ,Portaloo and Caravan Booking.
Acting as the main contact to sort these facilities

Promotion
Sorting medai coverage and working with sponsors.


Well i guees that covers it , hopefully we will get some encouraging feedback

yep, more people = better :) cant make the meeting - but will help out where i can :)

you should have a list of my skills from last time :D

I think the main thing will be making riders aware of the changed pick-up point (if we go ahead) so they don't bitch and moan when they get there. I can see allot of people being pevvved off if they get there to race only to then find out about it.

Also, I'm guessing parking for competitors will have to change?

yea part of the idea of posting it early is to get most of the bitcin out out of the way and let the word of mouth get around.
It could make for a suck event people complain too much.

Cheers for support too Thorg! wil try and make better use of you this year too.

Im Just rang steve and parking wont be a problem.

So the meeting is this wednesday, 3rd sept, not in august?
I'm Keen as mustard... sounds like a great opportunity.
Not sure exactly what I can help with, but I'll come to the meeting. Once school's out of the way in early Dec then I'll have heaps of spare time.

I'm keen to help with track preparation like I did last year and the year before and the year before and the year before that :D -hahahaI can sense a common theme here
I don't have time for anything else with other committments and would like to work with someone else making the track have a few more turns, maintaining what is already there and making some of the jumps bigger while leaving the easier lines still fully rideable.
Can't make meeting as it is being held during Kaia's dinner and bath time. I also have other committments, so I can't do anything else
Simon Barratt and Dan Melink are keen to help out in this area too

Lets know if you would like any help in this area

IMHO I'd look at smaller vehicles, i'e van and trailers as ooposed to walking the riders up that track to the hairpin.
Not only would it suck balls, but you'd be sending riders down the hill into and amongst all the traffic coming into park.

Sounds good , Dave's keen too and has been working with mark to take over managing the track. So you will need to work with him as he will be organising what goes on.

What we are proposing does suck balls , thats why im keen for some feed back.
Personally i think the novelty is going to wear pretty thin on your fourth push up.
although the fit guys might more runs in.

as for smaller vechiles ,they need to be 4wd and sourcing that many has never worked out.

Bit supprised there isnt more feedback

that or you'll have to look at generating some more money at the event and putting well towards grader costs for that section of road
